Privacy policy

What information I collect, why I have it, where it lives, and what you can ask me to do with it.

Last updated September 2026. This policy covers the Northern AI Accounting website and the bookkeeping services provided through it. It follows Canada's Personal Information Protection and Electronic Documents Act and Alberta's Personal Information Protection Act.

Who is responsible

Northern AI Accounting is a bookkeeping practice operated by Muhammad Kaleem Siddiqui, CPA, in Edmonton, Alberta. I am the person accountable for personal information handled by this business. You can reach me at 780 777 0654 or info@northernaiaccounting.com.

What I collect from this website

If you fill in the contact form, I receive the name, business name, phone number, email address, service selection, and message that you type into it. Nothing else is collected from you on this site. There are no advertising trackers and no third party marketing pixels.

The form is delivered by a form service that passes the submission to my email inbox. It is a processor, not a recipient of your business.

What I collect as your bookkeeper

Providing bookkeeping, payroll, and filing services requires financial and personal information. Depending on the engagement, that can include bank and credit card transaction data, invoices, receipts, supplier and customer details, payroll records, social insurance numbers for employees, business numbers, and CRA correspondence.

I collect only what the work requires. Where an engagement does not need a category of information, I do not ask for it.

Why I have it

To prepare your books, file returns and remittances on your behalf, answer your questions, and meet record keeping obligations under Canadian tax law. I do not sell personal information, I do not rent it, and I do not share it for marketing.

Who it is shared with

Information is disclosed only where one of these applies: you ask me to share it, for example with your tax accountant or your bank; a filing is made to a government body such as CRA, Service Canada, or WCB as part of the service you engaged me for; a service provider needs it to operate the systems the work runs on, such as your accounting software or secure cloud storage; or the law requires disclosure.

Where it is stored

Records are held in your accounting software and in access controlled cloud storage tied to your file. Some of these providers store or process data outside Canada, which means that information may be subject to the laws of the country where it is held. Client records are not moved through personal email accounts or messaging apps.

How it is protected

Access is limited to what is needed to do your work. Accounts are protected with strong credentials and two factor authentication where the provider supports it. Devices are encrypted and password protected. Access for anyone no longer involved in your file is removed.

How long it is kept

Business records are retained for the period required by Canadian tax law, which is generally six years from the end of the tax year they relate to. Website enquiries that do not become engagements are deleted once the conversation has run its course.

Automated tools

Software is used to pull transactions, read receipts, and suggest coding. These tools operate on your accounting data inside controlled systems. Automated output is reviewed by me before it becomes part of your financial records, and no automated decision is made about you.

Cookies and analytics

This site does not use advertising cookies. If visitor analytics are in use, they are privacy focused and do not use cookies or build a profile of you across other websites.

Your rights

You can ask what personal information I hold about you, ask for a copy, ask me to correct it, and withdraw consent for uses that are not required by law or by our engagement. Requests are answered within thirty days. Write to info@northernaiaccounting.com and I will confirm receipt.

If you are not satisfied with my answer, you can contact the Office of the Information and Privacy Commissioner of Alberta, or the Office of the Privacy Commissioner of Canada.

Changes

If this policy changes, the updated version is posted here with a new date at the top.
